THE STUDENT RECORD
One student, one record.
Registration and every exception to it, clearance, scholarships, and the record a transcript is drawn from. Everything an office needs to answer a question about one student without telephoning another office to check.
WHY THIS EXISTS
The student carries the paper.
Each office keeps its own version, so the student walks between them collecting signatures, and the office that signs last is the one that finds the discrepancy. Usually in the week they intend to graduate.
WHAT IS IN IT
Everything this office has to stand behind.
Course registration, and its exceptions
Drops, withdrawals, incompletes, retests, equivalences, alternates and waiting lists. The exceptions are the part that is normally kept on paper.
Clearance
Singly or in bulk, with the slip that proves it, so a student is not sent back to a department that has already cleared them.
Scholarships
Held against the student and the donor behind them.
Degree audit and transcripts
What has been completed, what remains, and the document that follows a graduate afterwards.
State rules
A student's status changes for a recorded reason, not because somebody edited a field.
THE BOUNDARY
It holds the record. Your registrar decides it.
Nothing changes a student's standing except a decision made by the office answerable for it. Rize records who decided, and when, so that the answer given in three years is the same one given today.
THE LIVE DEMONSTRATION
Open a real registrar’s office.
Four departments run live at edu.tifaqm.com: admissions, finance, HR and academics. Sign in as a guest and open them as a registrar would. No form stands in front of it, and no one calls you afterwards.
